1. Introduction
Automotive Intelligence B.V. ("AM-i", "we", "us"), located at Schenkkade 50, 2595 AR The Hague, acknowledges the importance of protecting your privacy and the security of your data when using our mobile application ("the App").
This Privacy Policy describes how we handle personal data and, in line with our services, distinguishes between two categories of data:
User Data: Personal data about you as a user that we process to enable the App to function (for which AM-i is the data controller).
Vehicle Data (Business Data): Data and photos that you process via the App on behalf of your organization (for which your organization is the data controller and AM-i is the processor).
AM-i processes personal data in accordance with the General Data Protection Regulation (GDPR).

3. Purpose of the App
The primary purpose of the AM-i Connect App is to facilitate and optimize the photography and advertising process for vehicles for the purpose of sales and stock management. The App enables users (such as car sales executives and photographers) to:
Identify vehicles and link them to the company stock by means of license plate or VIN entry.
Efficiently take a standardized series of photos of the exterior and interior of vehicles, with the App providing visual guidance for consistency.
Automatically edit the images taken (such as adjusting or making backgrounds uniform) and upload them in the correct order to the AM-i platform (Car Stock), and
Shorten the time-to-market by making photos immediately available for advertising purposes, without the intervention of external cameras or manual file transfer.
In this context, we process data to guarantee the technical operation of the App (such as authentication and upload status), to ensure the quality of the content, and to establish the link with your administration in the AM-i platform.
4. Personal data we process
In the context of the AM-i Connect App, we process various data. We distinguish between data we need for the management of your account and the technical operation of the app, and data you process on behalf of your organization.
A. Account Data
To grant you access to the App and verify your identity, we process:
Name: Your first and last name.
Business email address: For communication and account management.
Company name: The organization (dealer holding or branch) to which your account is linked.
B. App usage and technical data
To ensure the security and stability of the App, we process:
Login Activity: Timestamps of logins and successful or failed access attempts.
App log data: Error reports and usage logs to detect technical issues.
Limited technical device data: Such as device type, operating system version, and unique device IDs needed for linking to our servers.
User Interactions (Mixpanel): We register how you navigate through the App, which functionalities you use, and how long you view certain screens. This enables us to improve the workflow of the App.
C. Technical metadata
When using the App, metadata is automatically generated and stored:
Upload Timestamp: The date and time files are created and uploaded to the platform.
System Logs: Logs for security, audit trails, and troubleshooting.
D. Imagery and vehicle data (Processed on behalf of your organization)
Via the App, you process data belonging to your employer. AM-i acts as the processor here:
Photos of vehicles: The images you take for the company stock.
License plates: License plates you enter or that are visible in the photos taken.
Background material: Images you upload or select to replace the original background of vehicle photos.
If you upload background images yourself, you are responsible for ensuring they do not contain third-party personal data (such as recognizable persons).
5. Why we process this data
We process your personal data and the data you enter via the App solely for specific, defined purposes. Below we explain what we use your data for:
A. Delivery of the Service (Functionality)
To provide the core functionalities of the App, we process data for:
Access and use: To grant you access to the App, verify your identity upon login, and enable you to use the functionalities (such as the camera and workflows).
Synchronization and storage: To securely upload the photos you have taken and associated metadata to the AM-i platform and store them in the cloud environment.
Vehicle Linking: To automatically and correctly link the images taken to the correct vehicle file in your company stock (based on license plate, VIN, or session ID).
Image editing: To perform automated edits, such as isolating vehicles and replacing backgrounds.
B. Management and Support
To maintain our relationship with you and your organization:
Account management: For managing your profile, licenses, and the link to your employer (the dealer holding or branch).
Customer service and support: To assist you with technical questions, login problems, or error messages and to communicate with you about updates or maintenance.
C. Security and Optimization
To ensure the quality and security of the App (based on our legitimate interest):
Security and fraud prevention: To detect and prevent abuse, unauthorized access, and suspicious activities.
Improvement of stability and performance: To detect technical bugs (via crash logs) and monitor the speed of the App.
Product analysis: To gain insight into how the App is used (for example via Mixpanel), so that we can improve the user experience and develop new functionalities that meet your needs.
6. Legal ground
We process your personal data solely if we have a legal basis for doing so, as determined in the General Data Protection Regulation (GDPR). For the AM-i Connect App, we base ourselves on the following grounds:
A. Performance of the contract
Most of the processing is necessary to deliver the service we have agreed upon with your organization. Without this data, we cannot fulfill our obligations. This applies to:
Creating and managing your account.
Facilitating the upload and synchronization of photos to the platform.
Providing customer service and technical support.
B. Legitimate interest
We process certain data based on our legitimate business interest, always weighing our interests against your privacy. This applies to:
Security: Monitoring logs and access attempts to prevent abuse and fraud.
Product improvement (Analysis): Analyzing user behavior via tools such as Mixpanel to optimize the App's operation, detect bugs, and increase user-friendliness.
Relationship management: Informing existing customers about important updates or changes in the App.
C. Consent
For specific functionalities, we may ask for your consent. You are not obliged to give this consent and you can withdraw it at any time via your device settings. This applies in particular to:
Camera Access: Access to the camera is necessary to take photos, but is only processed after your explicit approval in the operating system (iOS/Android).
D. Legal obligation
In some cases, we are legally obliged to process or retain certain data, for example for tax purposes or to comply with requests from competent authorities.
7. Sharing of data
AM-i does not share your personal data with third parties for commercial purposes. We share your data solely if necessary for the operation of the App, the storage of your data, or to comply with legal obligations.
We share data with the following categories of recipients:
A. AM-i SaaS Infrastructure
The App does not function on its own but is an extension of the AM-i platform.
Your account data and the photos and vehicle data you have taken are automatically synchronized with the central AM-i SaaS environment (Car Stock).
This is necessary to realize the link with your company stock and make the photos available to your organization.
B. External Service Providers (Sub-processors)
We use carefully selected suppliers who support us in delivering the service. We have concluded data processing agreements with these parties to guarantee the security of your data. This concerns:
Cloud Hosting Providers: For the secure storage of data and the hosting of our servers and databases (e.g., for storing photos in the cloud).
IT and Security Suppliers: Parties that provide software for authentication, password management, and connection security.
Monitoring and Analysis Services: Suppliers who help monitor the stability of the App, analyze error messages (crash logs), and generate usage statistics (such as Mixpanel for product optimization).
C. International Transfer
Our primary data storage takes place within the European Economic Area (EEA). If we use suppliers outside the EEA (for example for specific analysis tools or cloud infrastructure), we ensure that appropriate safeguards are in place, such as an adequacy decision by the European Commission or the use of Standard Contractual Clauses (SCCs).
8. Retention periods
We do not retain your data longer than necessary for the purposes for which it was collected, unless we are legally obliged to retain it longer. We apply the following retention periods:
A. Account Data
We retain your personal account data (such as name, email address, and login history) as long as the agreement with your organization is active and your account is in use.
Upon termination of the service or at the request of your organization, this data is deleted or anonymized.
We may retain a limited set of data for a short archive period for the administrative handling of the contract.
B. Photos and Vehicle Data
For the photos and vehicle data you upload via the App, AM-i acts as the processor. The retention period of this data is determined by the settings of your organization (the data controller) within the AM-i platform.
As a rule, this data remains available as long as the vehicle is in your organization's stock or as long as your organization wishes to keep it in the archive.
Upon termination of the customer agreement, this business data is deleted or returned as agreed.
C. Technical Logs and Security
We retain technical log files, crash reports, and data on connection sessions for a limited period.
This data is used exclusively for security purposes (audit trails), troubleshooting, and ensuring the stability of the App.
After this period, the logs are automatically overwritten or deleted.
9. Security
AM-i takes the protection of your data seriously and has taken appropriate technical and organizational measures to prevent abuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification.
Our security strategy includes, among other things, the following measures:
A. Technical Measures
Encryption of data traffic: All communication between the App and the AM-i platform takes place via secure connections (HTTPS/TLS). This ensures that data, including login details and photos, is encrypted during transfer and cannot be intercepted by third parties.
Secure storage: Your data is stored on secure servers within certified data centers. Passwords are always stored hashed (encrypted).
Access control: Access to our systems is strictly secured. We use strong authentication methods and continuously monitor our infrastructure for suspicious activities.
B. Organizational Measures
Limited access (Need-to-know): Only AM-i employees who need the data for the performance of their function (for example for technical support or system administration) have access to your personal data.
Confidentiality: All our employees and hired third parties are bound by a strict duty of confidentiality.
Agreements with suppliers: We have concluded data processing agreements with all our sub-processors (such as hosting parties) in which we require them to also take appropriate security measures and observe confidentiality.
C. Data Breach Notification Duty
Despite our precautions, a security incident can never be completely ruled out. Should there be a data breach that (possibly) has adverse consequences for your privacy, we will inform you and the competent supervisory authority (Dutch Data Protection Authority) about this in accordance with the applicable laws and regulations.

10. Rights of data subjects
Under the General Data Protection Regulation (GDPR), as a user, you have various rights regarding your personal data. You can exercise these rights by submitting a request via the contact details below.
A. You have the following rights:
Right of access: You have the right to ask which personal data we process about you and to receive a copy thereof.
Right to rectification (correction): Is your data incorrect or incomplete? Then you can request us to adjust it. Tip: Many details, such as your profile name or password, can be changed directly yourself in the App.
Right to erasure (deletion): In certain cases, you have the right to have your personal data deleted by us (the "right to be forgotten"), for example when the data is no longer necessary for the purpose for which it was collected.
Right to restriction of processing: You can ask us to temporarily stop using your data, for example if you dispute the accuracy of the data.
Right to object: You can object to the processing of your data if we process it based on our legitimate interest.
Note: Distinction in responsibility
For your own account data: For data relating to you as a user (such as your login details and logs), AM-i is the data controller. You can address your request directly to us.
For vehicle data and photos: For the data and photos you process via the App on behalf of your organization, your organization (the dealer holding or branch) is the data controller. Do you want a specific photo or vehicle registration to be changed or deleted? Then contact your employer or supervisor.
B. Submitting a request

To ensure that the request has been made by you, we may ask you to identify yourself before we process the request. We aim to respond to your request within one month.
11. Complaints
We do everything we can to safeguard your privacy and process your data carefully. Should you nevertheless have a complaint about the way we handle your personal data, we would like to discuss this with you to arrive at a solution.

A. Handling Period and Identification
Period: We aim to handle your request or complaint substantively within 30 days of receipt.
Extension: If your request is complex or if there are multiple requests at the same time, handling may take more time. In that case, we will inform you about this and contact you regarding the progress within 60 days at the latest.
Identification: To prevent us from sharing data with the wrong person, we may ask you to identify yourself before we process your complaint. We then request limited data to verify that you are actually the data subject.

Can we not work it out together? Then, under privacy legislation, you always have the right to lodge a complaint with the competent supervisory authority in the country where you work or live:

12. Changes
Because our App and services are constantly developing (for example due to new functionalities or updates), and due to possible changes in laws and regulations, we may change this privacy statement from time to time.
A. Availability
The most current version of our privacy policy can always be consulted via the settings in the App and on our website. We advise you to view this policy regularly so that you remain informed of how we protect your data.
B. Version Management
The version you are reading now is the most recent version and was last amended in February 2026.
